What the sub needs, not what you know
Sub plans get photocopied and left on desks. Write what the substitute should do for each student, not why. Medical details, custody notes and anything confidential stay in the office. The lockdown procedure stays in the red folder, not in a document that leaves the room.

| Date(s) | Thursday, October 22, 2026 | School phone | (555) 010-0100 |
Daily schedule
| Time | Period or subject | What to do |
|---|---|---|
| 7:45 to 8:05 | Arrival and morning work | Students unpack, turn in homework to the blue bin and start the morning work page on their desks. Take attendance on the clipboard. |
| 8:05 to 9:00 | Reading | Read aloud chapter 7 of the class novel (on my chair). Then reading groups: the group list and the questions are in the green folder. Groups rotate every 15 minutes. |
| 9:00 to 9:50 | Math | Lesson 4.3, multiplication with arrays. Model two problems on the board from the teacher edition page 112, then students do workbook page 45. Early finishers: fact fluency cards in the red basket. |
| 9:50 to 10:10 | Recess | Walk the class to the blacktop. Duty teachers are outside; you stay with the class. |
| 10:10 to 11:00 | Writing | Students continue their personal narrative drafts in their writing folders. Conference with anyone who raises a hand; no new lesson today. |
| 11:00 to 11:40 | Lunch | Walk the class to the cafeteria at 11:00. Pick them up at the cafeteria door at 11:40. |
| 11:40 to 12:30 | Science | Watch the video linked on the desktop (Habitats, 12 minutes), then the worksheet in the yellow folder. Collect it. |
| 12:30 to 1:20 | Specials: PE | Ms. Diaz picks the class up at the door. This is your break. |
| 1:20 to 2:10 | Independent work | Students finish any unfinished work, then free reading. Pull Jordan and Riley for the reading check in the green folder if there is time. |
| 2:10 to 2:30 | Pack up and dismissal | Stack chairs, pass out the papers in the Thursday folder. Bus riders leave at 2:25 when called, car riders line up by the door. |
Class information
| Seating chart | Taped inside the top drawer of the desk and on the back of this page. |
|---|---|
| Helpful students | Taylor K. knows the routines and the laptop cart. Casey N. is the line leader this week. |
| Students who need support | Riley sits near the front and needs directions repeated one on one. Sam has an extended time plan: let him finish work during independent time. Jordan leaves at 1:00 on Thursdays for speech. |
| Bathroom and hall passes | One student at a time, sign out on the clipboard by the door. The pass is the lanyard on the hook. |
| Behavior plan | Class earns marbles for good transitions; add one to the jar when the room is quiet within a minute. Individual issues: a quiet reminder first, then move seats, then a note to me. Call the office only for safety. |
Procedures
| Attendance | Mark the clipboard sheet by 8:15 and send it to the office with Casey N. Online attendance is done by the office. |
|---|---|
| Lunch count | Students move their clip on the lunch chart as they come in. Write the hot lunch total on the attendance sheet. |
| Dismissal | Bus riders are called by bus number over the intercom from 2:25. Car riders walk with you to the front circle. After-school program students go to the cafeteria. Nobody leaves with an adult who is not on the pickup list in the blue binder. |
| Fire drill | Line up at the door, take the red folder and the clipboard, exit through the east doors to the far fence. Count heads and hold up the green card. |
| Lockdown | See the red emergency folder by the door. The procedure is not written here on purpose. |

How to use it
Fill in your name, room, the date and the school phone, then write the day as one line per period: the time, the subject and exactly what to do, down to which folder the papers are in. The class information box names the students who help and the ones who need support, where the seating chart is, how passes work and how behavior is handled. Procedures cover attendance, lunch count, dismissal and drills; the lockdown row points to the red folder instead of spelling anything out.
The plans print on two pages. Page two ends with a note for the substitute to write back to you: how the day went, who helped or struggled, and what was left unfinished. Leave the printed plans on your desk in a folder with the seating chart and the class roster, and update the file every few weeks so the emergency copy is never stale.
Things to watch
Describe needs, not diagnoses: "Riley needs directions repeated one on one" tells the sub what to do; a label does not, and it is private. Keep the file dated and make a generic version for the day you are out sick with no warning. For the student list to hand the sub, print the class roster template.

Frequently asked questions
Can I make emergency sub plans with no specific date?
Yes. Type 'Any day' in the date box and write the what-to-do column as standing activities: a read-aloud, a review page, a video and worksheet. Keep that version in the sub folder and swap in day-specific plans when you know you will be out.
Why is the lockdown row a pointer?
Lockdown procedures are site security information. Schools keep them in a folder that stays in the room and is shown to the sub in person, not in a document that gets emailed and photocopied.
How do I handle a middle or high school schedule?
Type one line per period with the period number as the subject: '1 | Algebra I | ...'. The what-to-do cell takes a paragraph, so each period can have full directions.
Is what I type saved anywhere?
No. Everything stays in your browser and nothing is sent to our server. If you refresh the page it is gone, so print, save a PDF or download the DOCX when you are done.
