Keep requirements job-related

A job description feeds postings, interviews and reviews. List only what the job needs. Requirements that are not about the work (age, family plans, health unrelated to the job) do not belong here. This is a template, not legal advice.

This shows the first part of each sheet as it prints on Letter paper. The file also has a how-to sheet and formulas, and every column fits one page width when you print from Excel.

How to use it

Type the job title and department, pick how many empty responsibility rows you want and download. The Job overview sheet holds the basics: who the role reports to, where it sits, whether it is exempt or non-exempt under the FLSA, and the pay range. Write the job summary as two or three sentences about why the role exists.

On the Responsibilities sheet, give each duty its own row with a rough percent of time and a measure of success you could check, like "zero missed orders per month". The total row tells you when the percentages do not add to 100. The Qualifications sheet separates required from preferred so the posting is easy to write.

Things to watch

Keep every requirement tied to the work. If you list a physical requirement, write the actual task (lift 25 pounds, stand for long periods) rather than a general fitness statement. Percentages are estimates, so update them when the job changes.

Frequently asked questions

How do I set the percent of time?

Estimate how much of a typical week goes to each responsibility and make the column total 100. Round numbers are fine.

What does FLSA status mean?

Whether the position is exempt from overtime under the Fair Labor Standards Act. That depends on duties and pay, so confirm it with HR or counsel before you post the job.

Does it work in Google Sheets?

Yes. The formulas are SUM and IF, which work the same in Google Sheets. You may need to re-create the dropdown lists.

Is what I type saved anywhere?

No. Everything stays in your browser and nothing is sent to our server. If you refresh the page it is gone, so print, save a PDF or download the DOCX when you are done.
