Only from the employer, only true facts
This letter has to come from the employer and say only what is true. A letter the employee wrote, or one with a made-up title, salary or start date, given to a mortgage lender or bank is a federal crime. Giving it to a landlord is fraud under state law.

Issued by the employer, not the employee
This letter is written and signed by HR or a manager on company letterhead. Confirm only what the requester needs: name, title, start date and status. Add compensation only when the employee has asked for it in writing or signed a release, since some states restrict what an employer may share.

How to use it
Type the company name, address and phone and they print as the letterhead. Add the employee's name, title, start date and status, and the letter confirms them in two short paragraphs with the length of service worked out from the start date. Turn on compensation only if the lender or landlord asked for it and the employee agreed; the line stays out of the letter otherwise.
Put the HR contact at the end so the reader can verify by phone, then print on letterhead paper or save the PDF and sign.
Things to watch
Keep the letter to facts from the personnel file. Do not add performance comments or the reason the employee is asking. Many requesters (mortgage lenders in particular) call to confirm, so the contact details must reach a person who can answer. If the request comes through a third-party verification service, follow that process instead.

Frequently asked questions
Can the employee write this letter themselves?
No. The requester wants confirmation from the employer. An employee can draft it here to save HR time, but HR or a manager has to review, print on letterhead and sign it.
Should salary be included?
Only when the requester needs it and the employee has agreed, ideally in writing. Lenders and landlords often ask; agencies verifying employment usually do not. Several states limit what employers may disclose, so check with HR or counsel if unsure.
What about a former employee?
This template is for current employees. For someone who has left, change the first paragraph to state the start and end dates and the last title held, or ask HR for the separation letter they use.
Is what I type saved anywhere?
No. Everything stays in your browser and nothing is sent to our server. If you refresh the page it is gone, so print, save a PDF or download the DOCX when you are done.
