How to use it

Type your name, title and address, then the person you are writing to with their title and company. The letter uses full block format: everything starts at the left margin, with a blank line between paragraphs and no indents. Put the point of the letter in the subject line so the reader knows what it is about before the salutation.

Write the body in the one box and press Enter twice to start a new paragraph. First paragraph: why you are writing. Middle: the details, dates and numbers. Last: what you want the reader to do and how to reach you. List any attachments under Enclosures and anyone who gets a copy under cc.

Things to watch

Use the recipient's name whenever you can find it; the salutation ends with a colon in a business letter, not a comma. Keep it to one page. Print on letterhead if your company has it, and skip the typed sender block when the letterhead already shows your address.

Frequently asked questions

What is block format?

Every line starts at the left margin: sender, date, inside address, salutation, paragraphs and closing. Paragraphs are separated by a blank line and not indented. It is the most common US business letter layout.

Colon or comma after Dear?

A colon for business and formal letters (Dear Ms. Kim:). A comma is for personal letters and email. The template uses a colon.

Where do I sign?

Between the closing and your typed name there is a blank space of about four lines. Sign there in ink after printing, or paste a signature image into the DOCX.

Is what I type saved anywhere?

No. Everything stays in your browser and nothing is sent to our server. If you refresh the page it is gone, so print, save a PDF or download the DOCX when you are done.
