This shows the first part of each sheet as it prints on Letter paper. The file also has a how-to sheet and formulas, and every column fits one page width when you print from Excel.

How to use it

Pick how many people are on the trip. You get a Settlement sheet and an Expenses sheet. Type the names on the Settlement sheet, then log each expense on the Expenses sheet with who paid. Paid, share, balance and who pays whom are all formulas.

Everything splits evenly by default. For an expense that only some people share, such as drinks or a tour, switch the people who sat it out to No and that line splits among the Yes people only.

Things to watch

Rounding to cents can leave the totals a few cents off. The settle-up plan routes every payment through one person, the collector, which keeps the number of transfers small; if you prefer paying each other directly, use the Balance column and sort it out from there.

Frequently asked questions

One person paid for several things.

One line per payment. Paid on the Settlement sheet adds up every line with that name in Paid by.

What about an expense some people did not share?

Switch those people to No on that line. The per-person amount is recalculated from the people marked Yes.

We have more than 10 people.

The file goes up to 10. Split the group into two files, or copy a person column on the Expenses sheet and extend the formula ranges by hand.

Is what I type saved anywhere?

No. Everything stays in your browser and nothing is sent to our server. If you refresh the page it is gone, so print, save a PDF or download the DOCX when you are done.
