Only for rent that was paid

Write a receipt only when you actually receive the rent. A receipt for rent that was not paid, used to qualify for an apartment, assistance or credit, is fraud under state law. Giving one to a mortgage lender is a federal crime.

Receipts for cash rent

This is a general template, not legal advice. Several states, among them California, New York, Washington and Maryland, require a landlord to give a written receipt when rent is paid in cash or when the tenant asks for one. Give one every time; it protects both sides.

1 / 1

How to use it

Type the landlord or management company, the tenant, the property with the unit number, the rental period the payment covers and the amount. Pick how it was paid; a check gets its number on the receipt. If part of the payment was a late fee, type that amount and the receipt says so. For a partial payment, type what is still owed under balance due.

Three receipts print per page with cut lines between them, like a receipt book; set receipts per page to 1 for a single receipt. Every receipt carries the next number, so print once a month with the first number raised each time.

Things to watch

Sign the receipt in ink after printing and keep a copy or a photo for your own records. Log every receipt in the rent ledger template so the year-end totals match. A receipt says what was received; it does not change the lease or waive a late fee you have not charged.

Frequently asked questions

Do I have to give a rent receipt?

In many states only when rent is paid in cash or the tenant asks, but a receipt every month is the simplest way to avoid a dispute about whether rent was paid. The tenant should keep it as proof of payment.

What if the tenant paid less than the rent?

Type the amount actually received and the amount still owed under Balance still due. The receipt then shows the partial payment and the balance for the period.

How do I print more than one page?

Print the first page, then raise the first number by the number of cards you printed and print again. The numbers continue where the last page left off.

Is what I type saved anywhere?

No. Everything stays in your browser and nothing is sent to our server. If you refresh the page it is gone, so print, save a PDF or download the DOCX when you are done.
