This shows the first part of each sheet as it prints on Letter paper. The file also has a how-to sheet and formulas, and every column fits one page width when you print from Excel.

How to use it

Choose how many vendors you are comparing and the sheet lays out one column per vendor. Copy the unit prices from each quote into those columns. Each line then shows the lowest price, which vendor offered it, and what that line would cost at the lowest price.

Below the table you get each vendor's total, how many items each vendor skipped, and which total is lowest. Four text rows hold lead time, payment terms, warranty and how long each quote is valid, so price and terms sit on one page when you ask for approval.

Things to watch

Quotes that include freight, installation or tax next to quotes that do not will skew the comparison. Put everything on the same basis before you type it. Leave a cell empty when a vendor did not quote an item, because a zero is treated as a price. Government and grant purchases often have their own bid comparison form, so check before you use this one.

Frequently asked questions

Where do I put the vendor names?

In the header row, over the price columns. Replace Vendor A, Vendor B and so on with the real names. The Lowest vendor column and the Lowest total row pick up whatever you type there.

I have more than five vendors.

The sheet goes up to five so it stays readable on one page. Compare the first five to narrow the field, or copy a vendor column and widen the ranges in the Lowest price and Lowest vendor formulas.

Does it work in Google Sheets?

Yes. MIN, IF, SUMPRODUCT and COUNTIFS work the same in Google Sheets. There are no array formulas.

Is what I type saved anywhere?

No. Everything stays in your browser and nothing is sent to our server. If you refresh the page it is gone, so print, save a PDF or download the DOCX when you are done.
