A quote is an offer, not a bill
A quote tells the customer what you will charge if they accept within the validity period. Once they accept, send an invoice for payment. Sales tax rules differ by state and many services are exempt, so type the rate you were given or leave it at 0.

How to use it
Type your business details, the customer you are quoting, and each line with a quantity and unit price. The quote totals the lines, subtracts a discount if you give one and adds sales tax at the rate you type. The valid-for days turn into an expiration date next to the quote number.
Put anything that changes the price in the terms: deposit, number of revisions, what is billed at cost, what happens if the scope grows. The acceptance line at the bottom gives the customer a place to sign and return the quote.
Things to watch
Send the PDF so the figures cannot be edited on the way. If a customer accepts after the expiration date, issue a new quote with a new number rather than reusing the old one.
The quote number and the invoice number are different series. When the customer accepts, reference the quote number on the invoice so accounts payable can match them.

Frequently asked questions
What is the difference between a quote and an estimate?
A quote is a fixed price for the work described, good until the expiration date. An estimate is a best guess that may change. If you want it to read as an estimate, say so in the terms and keep the validity short.
How long should a quote stay valid?
30 days is common. Use 7 to 14 days when material or supplier costs move quickly. The number of days you type becomes the Valid until date.
Can I turn the quote into an invoice?
Not automatically. Open the invoice template, copy the same line items and add the quote number in the PO number box so the two documents match.
Is what I type saved anywhere?
No. Everything stays in your browser and nothing is sent to our server. If you refresh the page it is gone, so print, save a PDF or download the DOCX when you are done.
