How to use it

Type the tenant, the property and the day the current lease ends, then the new term and rent. If you type the current rent too, the letter spells out the change in dollars and percent, which saves a phone call. List anything else that changes in plain sentences; the letter says all other terms stay the same.

Set a reply-by date two to four weeks out and choose what happens if the tenant stays silent: the lease ends, or it continues month to month, whichever your current lease provides. Send it 30 to 60 days before the lease ends, or earlier if your state or lease asks for more, and keep a signed copy of the tenant's response.

Things to watch

A renewal letter is an offer, not a lease. Once the tenant agrees, sign a renewal or a new lease that both of you keep. A rent increase above about ten percent triggers longer notice periods and caps in a growing number of cities and states, and the preview warns you when the change is that large; check the local rule before you send it.

Frequently asked questions

How much notice do I have to give for a rent increase?

It depends on the state and sometimes the city, and often on the size of the increase. Thirty days is the floor in many places for month-to-month tenants, and several states require 60 or 90 days for larger increases. Check your state's landlord-tenant statute and any local rent ordinance before you set the dates.

What if the tenant wants to negotiate?

Treat the letter as the opening offer. If you agree on different terms, send a revised letter or write the agreed terms into the renewal lease so the file matches what was signed.

The tenant is not renewing. What next?

Confirm the move-out date in writing and ask for a forwarding address for the deposit. The tenant can use the notice to vacate letter, and both of you can use the move-in move-out checklist for the final inspection.

Is what I type saved anywhere?

No. Everything stays in your browser and nothing is sent to our server. If you refresh the page it is gone, so print, save a PDF or download the DOCX when you are done.
