A reminder, not an eviction notice

This is a general template, not legal advice. This letter is a courtesy reminder and a record of what is owed. A notice to pay or quit is a different document with wording, timing and delivery rules set by state law; if the rent stays unpaid, use your state's form for that step.

How to use it

Type the tenant, the property, the due date and the amount still unpaid. Add the late fee only if the lease has one, and the letter adds it to the total. Pick a pay-by date a week or so out and say how the tenant can pay. The tone stays neutral: most late rent is a missed transfer or a short cash gap, and a plain reminder with the number on it is what gets it paid.

Send it the day after any grace period in the lease ends, by email and on paper, and keep a copy with the date. The rent ledger template is the place to record the payment when it arrives, including the late fee if you charged one.

Things to watch

A late fee you cannot point to in the lease is one the tenant does not owe, and several states cap the amount or require a grace period before it starts. Do not add threats about eviction to this letter. If the rent is still unpaid after the pay-by date, the next step is a notice to pay or quit on the form your state uses, with the delivery method the statute names.

Frequently asked questions

What is the difference between this and a pay or quit notice?

This is a reminder: it asks for the money, keeps the relationship civil and creates a dated record. A notice to pay or quit is the first legal step toward eviction. It gives the tenant a set number of days to pay or move out, and the number of days, the wording and how it is served are fixed by state law. Use your state's form for that.

The tenant paid part of the rent. What do I type?

Type only the part still unpaid in Amount past due. If you want the letter to show it, mention the partial payment in the How to pay box, for example: Thank you for the $500 received on October 3; the remaining balance is shown above.

Can I charge a late fee?

Only if the lease says so, and only up to what the lease and your state allow. Some states cap late fees at a percentage of the rent or require a grace period of a few days. If the lease is silent, leave the late fee empty.

Is what I type saved anywhere?

No. Everything stays in your browser and nothing is sent to our server. If you refresh the page it is gone, so print, save a PDF or download the DOCX when you are done.
