Sales tax on services

Most states do not tax professional services, so the default rate is 0. A few states and some service types are taxed. Type the rate your accountant gave you if one applies.

How to use it

Type your details and the client's billing contact, then add one line per task or day with the hours and your hourly rate. Decimals work for hours, so 7.5 means seven and a half hours. The invoice multiplies hours by rate on every line, shows the total hours, and adds sales tax only if you type a rate.

The service period tells the client which weeks the hours cover. Net 15 is common for freelancers; type 0 in the Due in box for due on receipt.

Things to watch

Keep a timesheet behind each line so you can answer questions about the hours. Bill in the increment you promised, such as quarter hours, and say so in the terms.

Send the PDF. The Excel version is for your records: in that sheet the Qty column holds hours and the Unit price column holds the rate.

Frequently asked questions

How do I bill part of an hour?

Type a decimal in the Hours box: 0.25 for a quarter hour, 0.5 for half, 1.75 for an hour and three quarters. Minutes do not convert on their own, so 1 hour 20 minutes is 1.33.

Can lines have different rates?

Yes. Each line has its own rate, so you can bill meetings, design and travel time at different rates on one invoice.

Where do I put expenses?

Add a line with the expense as the description, 1 in Hours and the cost in Rate. The amount then equals the cost. Say in the notes that the line is a pass-through expense.

Is what I type saved anywhere?

No. Everything stays in your browser and nothing is sent to our server. If you refresh the page it is gone, so print, save a PDF or download the DOCX when you are done.
