Gift card rules apply

In the US a gift certificate sold for money is a gift card under the CARD Act: at least five years before it can expire and no inactivity fees in the first year. Several states (California, for example) do not allow expiration at all and require cash back on small balances. Promotional certificates you give away for free are treated differently. When in doubt, leave the expiration empty.

  • The certificate expires in under five years. Federal law sets a five-year minimum for most gift cards sold to consumers, and some states ban expiration dates entirely.

How to use it

Type your business name, the amount and who it is for. The certificate prints on one landscape Letter page with the recipient's name across the middle, the number at the top left and the date and your signature at the bottom. Change the name and amount and print again for the next one.

Download the Excel log to track the certificates you sell. It numbers the rows from your first number and works out the balance left on each one as it is used.

Things to watch

Treat sold certificates like cash: number them, log them and keep the log with your sales records. Pre-printed certificate paper looks better than plain paper; turn the border off if your paper has one.

Frequently asked questions

Can I leave the amount blank?

Yes. Leave the amount empty and the certificate prints a line to write the amount by hand at the register. Fill in the log row when you sell it.

Do I have to put an expiration date?

No, and it is often simpler not to. If you do, federal law requires at least five years for certificates sold to consumers, and some states do not allow expiration at all.

Can I print this on certificate paper with a printed border?

Yes. Keep the border off and the text sits inside the usual frame. Paper designs differ, so test on plain paper first. If something sits too close to the edge, download the DOCX and nudge the margins in Word.

Is what I type saved anywhere?

No. Everything stays in your browser. When you need certificates for several people, change the name and print or download each one.
