An estimate is not a contract price

An estimate tells the customer roughly what the job will cost. If you want a price that cannot change, use the quote template instead. Sales tax on labor and materials differs by state: some tax materials only, some tax the whole job. Type the rate your accountant gave you, or leave it at 0 and add tax on the invoice.

How to use it

Type your business details, the customer, and each line of the job with a quantity or number of hours and a rate. Mark each line Labor or Materials and the table adds a subtotal for each above the estimated total. The valid-for days turn into a date next to the estimate number so the customer knows how long the price holds.

Write the scope of work in plain sentences and list what is not included under Exclusions. Those two boxes settle most disputes later. The acceptance line at the bottom gives the customer a place to sign; the fixed sentence above it says the number can change if the scope does.

Things to watch

Send the PDF so the figures cannot be edited. When the job is done, open the invoice template, copy the same lines with the real hours and materials, and put the estimate number in the PO number box so the two match. If the customer wants a firm price, switch to the quote template.

Frequently asked questions

What is the difference between an estimate and a quote?

An estimate is your best guess and can change when the job changes. A quote is a fixed price for the work described, good until it expires. This template says so in the last line; use the quote template when you want the price to hold.

Do I have to split labor and materials?

No. Leave the Type column empty and the table prints without the two subtotals. Many customers like the split because it shows what they could save by supplying materials themselves.

How do I charge sales tax on labor?

It depends on your state. Some tax materials only, some tax both for repair work and neither for new construction. Ask your accountant, then type one rate here or leave it at 0 and settle tax on the invoice.

Is what I type saved anywhere?

No. Everything stays in your browser and nothing is sent to our server. If you refresh the page it is gone, so print, save a PDF or download the DOCX when you are done.
