This shows the first part of each sheet as it prints on Letter paper. The file also has a how-to sheet and formulas, and every column fits one page width when you print from Excel.

How to use it

Type the group name, the first month, how many months and how many members. You get a Payments sheet where you mark Paid for each member and month, and a Cash sheet for money in and out. Change the monthly dues at the top once and every member's amount paid and amount owed update.

On the Cash sheet, record dues as they come in and expenses like room rental or snacks in date order. The balance runs per line, and the dues total from the Payments sheet sits next to the Money in total so a treasurer handoff is easy to check.

Things to watch

Only the exact word Paid is counted, so use the dropdown. The file lists names and who is behind, so before you post it in a group chat, share only the sheet people need or hide the Owed column.

Frequently asked questions

Our dues are not the same every month.

Amount paid is payments times the monthly dues. If the rate changes, clear the Amount paid column and go by the Money in total on the Cash sheet instead.

A member joined partway through.

Type the name on an empty row and the number fills in by itself. If you run out of rows, copy the last member row and insert it above the Total row so the formulas carry over.

What do I do after a year?

Make a new file with the next first month and type last year's current balance into the Opening balance cell on the Cash sheet.

Is what I type saved anywhere?

No. Everything stays in your browser and nothing is sent to our server. If you refresh the page it is gone, so print, save a PDF or download the DOCX when you are done.
