A snapshot, not a period

A balance sheet shows what the business owns and owes on one day. Use the balances as of that day from a reconciled bank account and your books, and carry net income for the period from the income statement so the equity section ties out.

This shows the first part of each sheet as it prints on Letter paper. The file also has a how-to sheet and formulas, and every column fits one page width when you print from Excel.

How to use it

Type the business name and the statement date, and turn on the compare toggle if you want last year next to this year. The sheet lists the usual small business lines: cash, receivables, inventory and prepaid expenses under current assets; property and equipment less depreciation under long-term assets; payables, credit cards, accrued expenses and the current portion of loans under current liabilities; long-term loans; then capital, retained earnings and current period net income under equity.

Every subtotal is a formula. The check row at the bottom subtracts liabilities and equity from assets and the status cell says Balanced when the result is 0. Pull net income from the income statement template for the same period and the equity section should tie out.

Things to watch

If the check row is not 0, start with the bank balance (is it reconciled as of the date?), then net income (does it match the income statement?), then loans (the part due within 12 months goes in current liabilities and the rest in long-term). Use the same date for every line; a balance sheet is a snapshot of one day, not a period. Pair it with the cash flow statement template when a lender asks for the full set.

Frequently asked questions

What is the difference between retained earnings and net income here?

Retained earnings is the profit kept in the business from earlier periods. Current period net income is this period's result from the income statement. At the start of a new period, last period's net income moves into retained earnings and the net income line starts again.

How do I split a loan between current and long-term?

Look at the amortization schedule from the lender. The principal due in the next 12 months goes in the current portion line, the rest in long-term loans. Interest is not a liability until it is due.

Does it work in Google Sheets?

Yes. The formulas are SUM, ROUND and IF, which work the same in Google Sheets. Open the file in Google Sheets with File then Import and the colors and formulas come with it.

Is what I type saved anywhere?

No. Everything stays in your browser and nothing is sent to our server. If you refresh the page it is gone, so print, save a PDF or download the DOCX when you are done.
