Not the depreciation schedule

This register tracks where things are, who has them and what state they are in. It does not compute depreciation or book value. For tax and accounting, use your accounting software or your CPA's fixed asset schedule. The file is built in your browser and never goes to a server.

This shows the first part of each sheet as it prints on Letter paper. The file also has a how-to sheet and formulas, and every column fits one page width when you print from Excel.

How to use it

Set the company name and a tag prefix and you get a register with numbered tags. Each time you buy a laptop, a desk or a tool, add a line with the purchase date, cost, where it lives and who has it. Identical items bought together can share one line with a quantity.

The Summary sheet counts lines, quantity and cost by status (in use, in storage, under repair, lost, disposed) and by category. Print it before a physical count or an office move and walk the floor with it.

Things to watch

When an item is sold, scrapped or lost, change the status and add the disposal date instead of deleting the line. The history is the point of the register. Depreciation and book value are not here, so keep your accountant's fixed asset schedule as the source for the balance sheet.

Frequently asked questions

How should I number the tags?

There is no rule. Prefix plus a running number (A-001) is the simplest. Splitting by category (IT-001, OF-001) tells you the type at a glance. Do not reuse a number after the item is disposed.

What is worth putting on the register?

Each company sets its own threshold. A common approach is anything that lasts more than a year, moves around, or costs more than a set amount such as $500. Write your rule on the How to use sheet so the next person keeps it going.

Does it work in Google Sheets?

Yes. COUNTIFS and SUMIFS work the same in Google Sheets. You may need to re-create the dropdowns.

Is what I type saved anywhere?

No. Everything stays in your browser and nothing is sent to our server. If you refresh the page it is gone, so print, save a PDF or download the DOCX when you are done.
